How to set up business email on Windows 11

1. Pick the app

Windows 11's built-in Outlook focuses on Microsoft accounts. For hosting email (cPanel, Hostinger, GoDaddy, Zoho) a dedicated IMAP app is simpler. ECOMHUTSY Webmail is free and Gmail-like.

2. Connect over IMAP

Sign in with your full address and mailbox password. If needed, use the settings table.

3. Make it yours

• Sender name and signature: Mailbox settings.
• Colour per mailbox: helps when you run sales@, support@ and your own address together.
• Labels: one per client or project.

4. Notifications that do not nag

Turn on system notifications and pick a sound in Settings. Use Windows' Do Not Disturb hours for focus time. More in desktop email notifications.

5. Security basics

• Strong, unique mailbox passwords; App Passwords for Gmail and Yahoo.
• Lock your PC (Windows + L) when you step away.
• Hover over links before clicking; hosts never ask for your password by email.

6. Take it with you

The Android app shows the same mailbox on your phone.
